In the FitHive system, there are two types of checkins. An attendance checkin and a class checkin.
An attendance checkin is more restrictive as far as who can do it and where it can be done. This is so that it can be used as a good representation of actual physical attendance. If a user could remotely trigger an attendance checkin, it would not make for a good indication of physical onsite attendance.
A class checkin on the other hand, can be done by a user remotely 2 hours before or after the class start time (if it is not disabled). Online checkin can be disabled in the settings, which will force either a staff moderated checkin or use of the front desk tablet/kiosk app.
First lets review where the two different types of checkins are performed and what the use cases for them are.
Attendance checkins
- admin user registers a user into the class (and elects to check them in at the same time) from the admin schedule area
- instructor registers a user into the class (and elects to check them in at the same time) from the instructor app or the instructor website area
Those two use cases are intended to be used for a user who comes in person last minute for in person help to get into a class bypassing the opportunity for fresk desk checkin
- user checks themselves into a class or general workout from the tablet/kiosk checkin frontdesk app
- user checks registers into a class from the tablet/kiosk checkin frontdesk app
Those two use cases are intended for members/users in a self serve manner to checkin at the front desk, or to have a front desk staff assist them in checking in using the tablet kiosk app.
Class checkins
- admin checks a user into a class from the admin area
- instructor checks a user into the class from the instructor app or instructor website area
Those two use cases are intended to be used if the facility doesn't make use of the front desk tablet/kiosk app, and instead wants to have staff checkin members at the beginning of the class.
- user checks themselves in from their web account area or from the member app
A user can do this in anticipation of coming or as a final confirmation of their intent to come, but cannot programmatically verify physical attendance.
There are settings that can be toggled to disable the user's ability to perform these checkins, so that you can enforce a different policy (such as front desk kiosk only or staff attendance checking)
- user clicks to joins a virtual class from the web or member app
A user attending a virtual class (such as zoom) is checked in automatically when they join a virtual class, as there is no need to checkin beforehand or in person.
- user checks into a class (not general workout) from the tablet/kiosk checkin frontdesk app (which will also simultaneously do a regular attendance checkin)
Making sense of reports and deciding on the best flow for you
Depending on how you run your show, you can choose which methods to use.
If you want to avoid having users or staff interacting with the front desk kiosk/tablet app, you can choose to strictly utilize the class checkins and treat them as "good enough" to represent physical onsite attendance.
In this case, you would simply ignore the attendance checkin report (or at least the general checkin data in that report) and utilize the Class Schedule Registrations Report (located under Reports : Class Schedule : Registrants ).
Using the class schedule registrants report, you can search for people with the "checked in" status for class times in a certain date range.
Some regions/localities require a process which can be verified to have only been done in person.
For these use cases, if you need or desire a more definitive representation of your physical onsite attendance (for insurance or legal purposes), then you will need to use the frontdesk tablet/kiosk app even if your users are performing online class checkins.
You can also do a combination of both - you can have users perform a class checkin on their own remotely AND have have them use the front desk tablet/kiosk app. In this way you get some data beforehand of user's intent/confirmation to come and you also get the more concrete physical onsite attendance data.
